Set data retention
Delete or anonymise closed tickets automatically after a number of months.
Without a retention policy, ChaosDesk keeps tickets forever. Data protection laws such as GDPR and POPIA expect you to keep personal data no longer than you need it.
Create a policy
- Open Admin Center, Security & compliance, Compliance and choose the Retention tab.
- Choose New policy and enter a Name.
- Pick the Action:
- Delete: permanently remove the ticket, comments, attachments and audit trail;
- Anonymise: keep the ticket shell (dates, status, group, priority) for reports, and erase the subject, comments, text fields and attachments.
- Set Closed for more than a number of months.
- Optional: limit it to a Brand or Group.
- Choose Save policy.
When it runs
Policies run every night on closed tickets whose last update is older than the policy age. The list shows how many tickets match now and the Last run. A Dry run line tells you how many tickets would be processed today.
To run a policy straight away, choose Run now and confirm. This cannot be undone.
Tips
- Start with Anonymise, so your reports keep their history.
- Use a longer period for brands or groups with legal record-keeping duties.
- Retention runs are recorded in the admin audit log.
