Add or remove seats

How seats are counted, what happens when you add an agent, and how to pay for fewer seats.

This feature is still being built. Some steps or screens may change.

You pay per seat. A seat is one active full agent or admin.

What counts as a seat

  • Every admin.
  • Every agent whose role can write public replies to customers.
  • Not light agents: an agent whose role cannot write public replies (such as the built-in Light agent role) is free. See light agents.
  • Not suspended team members, and never customers.

Admin Center, Integrations, Plan and billing shows your Seats as “in use of paid”, for example 6 in use of 8 paid.

ChaosDesk recounts your seats whenever someone is invited, removed, suspended or unsuspended, changes role, or when a role’s permissions change.

Add a seat

You do not need to buy seats in advance. When you add an agent and every paid seat is taken, ChaosDesk raises your paid seats to match and the payment provider charges the prorated price for the rest of the period.

The same happens when a light agent gets a full role, or a suspended agent is reactivated.

Pay for fewer seats

Paid seats are never lowered automatically, so a seat you free up mid-period stays paid until the period ends.

To free up a seat, open the person in Admin Center, People, Team members and suspend them, or give them a light agent role. Their seat no longer counts as in use straight away.

Lowering the number of paid seats takes effect from the next billing period, and can never go below the seats in use.

Enterprise contracts

On an Enterprise contract, the number of seats is part of the contract. Seats in use are still counted, and extra seats are settled with you under the contract.
